Scott Photography evolves with Office 365

In an era of filtered perfection and disappearing selfies, Louis Scott has made a living by photographing the authentic, “raw” versions of his subjects. The mission of Scott Photography (located in San Antonio, TX) is to help individuals and businesses grow through the art of portraiture.
Since founding his business in 2012, Scott has depended on Microsoft Office for operating his business. Whether it’s a corporate client in need of headshots for the employees who make their product possible––or an aspiring actor, hoping to be the next big thing––Office helps Scott to always be ready.
Scott has also taken more time for personal projects as his business grows. He created the Human Uniqueness Project, which includes The Firefighter Initiative—portraitures of firefighters in day-to-day life, rather than in the acts of heroism that characterize their work. The Firefighter Initiative is meant to convey each firefighter’s individuality as essential to the work they do for their communities.
“I think overall, people have a good amount of respect for firefighters,” Scott says. “But they don’t see them for everything they do in the community and on a daily basis. They just see people who are riding around putting out fires, and that’s it.”
Scott is developing his art and his business––with Office continuously at his side.
Microsoft Word keeps Scott mobile
Scott uses Microsoft Word throughout his daily workflow: for forms, proposals, direct marketing and jotting down quick notes. Word also makes it convenient for Scott to upload information into the company’s CRM, and to access documents on the go. He loves Word’s Design tab, which allows him to create business proposals for clients from scratch and appreciates the Thesaurus for improving his vocabulary as a writer.
“Whenever I’m on the road, I need products and services that are as mobile as I am,” Scott explains. “Using Office 365, if I ever need anything, all I have to do is pick up the phone or go to online help. It’s very convenient… If I’m at a shoot, and if I need help with anything, it’s a good feeling to know that it’s [Microsoft] who has my back.”
In headshots and client relationships, alike, Office helps Scott keep his customers smiling.
“I recall a time in which I needed to send a very important proposal to one of my clients, and thought I’d have to return to my studio to reach a desktop,” Scott says. “But I was surprised at how simple it was to create and send a proposal right from my mobile device using Office 365. It was a huge plus in my book.”
For sole proprietors, entrepreneurs and small businesses, it makes a big difference to have a little extra help.
“I chose Word over other writing and editing apps because Word offers me the tools I need to get the job done.”
PowerPoint allows Scott to showcase his work
PowerPoint supports Scott’s growth by allowing him to build beautiful, shareable presentations that digitally showcase his vision in the best light. His favorite PowerPoint features include the ability to change themes, add voiceovers, customize transitions between slides, and add music, which he explains really brings each slide to life.
“It’s tough to encompass all we have to offer into a single presentation. PowerPoint does a phenomenal job by giving me control to customize the presentations as I see fit,” Scott says. “I can create a single PowerPoint that can be used over and over… It allows me to leverage my time and focus on things that need my attention on a day-to-day basis.”

New reasons to make Microsoft Bookings the go-to scheduling software for your business

  • Add your Office 365 calendar to Bookings—Connect your Office 365 calendar to Bookings, so that the times you are busy will automatically be blocked in your public Booking page.
  • Add buffer time before and after your appointments—Do you need prep time before or after an appointment? Adding buffer time to a service automatically blocks that time in your Booking page too.
  • Bookings apps for your iOS and Android phone—Now you can book an appointment, contact a customer or check a staff member’s appointments while away from the office.
  • Customize your Booking page—We added more color customization options, so you can better personalize your Booking page.
These new capabilities will start showing up automatically in Bookings in the coming weeks. Let’s take a detailed look at what’s new.

Add your Office 365 calendar to Bookings

One of the top pieces of feedback we’ve heard is that you want to be able to add events from your Office 365 calendar to Bookings. So, we added integration between these calendars to help you avoid booking customer meetings during the time you’ve set aside for personal appointments, staff and partner meetings or other aspects of running your business.
To add Office 365 calendars to Bookings, click the Staff tab on the left navigation panel. On the Staff details page, select the Events on Office 365 calendar affect availability checkbox.

Once you activate this option, the system automatically blocks busy times on the Bookings calendar and on the self-service Booking page your customers see, so that you won’t get double-booked. Similarly, so your staff doesn’t get double-booked, you can also add their Office 365 calendars.

Add buffer time between appointments

Some services can be provided through back-to-back appointments. But another top piece of feedback you gave us was that many of your services require travel, prep and/or set-up time beforehand, and clean-up and travel time once the service was delivered. For customers with these needs, we added buffer times to give you more options to customize the services you deliver.
To add buffer times, click the Services tab in the left navigation column and either edit a current service or create a new one. Turn on the toggle below the Buffer time your customers can’t book and you will get buffer time selections that can be applied before and after the service appointment. These are times your customers can’t book an appointment with you before and after an appointment.


You can turn on the “buffer time” option in the Services tab.

Apps for iOS and Android

We know it’s essential for you to keep up with your business while you are away from a desk, so we built mobile apps that let you manage your bookings and staff, or access your customer list while you’re on the go.
After you download the Bookings app on iOS and Android, you can use your phone to:
  • View and manage your Bookings calendar.
  • Create and edit bookings.
  • See real-time availability and whereabouts of your staff.
  • Respond to customers with bookings quickly and easily.
  • Get directions to your next booking.
  • Access your customer list.

Customize your Booking page

Your Booking page should look and feel like an extension of your business, and it needs to positively reflect your brand.
To help you achieve this, we added options to customize it. For example, you can choose your main color for your Booking page from a color palette, and choose whether you’d like to show your business logo.
To customize your page, click Booking page in the left navigation list and select the color you want. If you don’t want your logo to be displayed, uncheck the Display your business logo on your booking page checkbox. Once you are done, simply click Save and publish.

Use the Booking page tab to customize your Booking page. Remember to click Save and publish to keep your changes.

How to get started with Bookings

Bookings is included in all Office 365 Business Premium subscriptions, and getting started is easy. To simplify the work of customer scheduling for your business, just sign in to Office 365 and click the Bookings tile on the App Launcher. If you don’t see the Bookings tile, we may still be in the process of rolling out the service in your region—so check back a bit later. Once you are signed in to Office 365 you can find the App Launcher on the top left corner.

The Office Setup is introducing Power BI custom visuals to download and use in Power BI service reports and Power BI Desktop. Users will be able to easily discover and quickly download BI visualizations that interact with data to find key insights and drive important business decisions. Power BI custom visuals provide compelling data visualizations created by members of the community and by Microsoft. They behave just like the native rich visualizations already included with Power BI but can also be filtered, highlighted, edited and shared.
Here are some examples:
  • Word Cloud—Visualize the text in your data in a beautiful way.

  • SandDance—See all your data as grains of sand with animated transitions between views to help you explore, understand and communicate insights in your data.
  • Correlation plot—An advanced analytics visual based on R script to highlight correlations in your data.

New Office 365 capabilities help you proactively manage security and compliance risk

Missing a key security signal could mean not catching a breach, but the number of security signals is increasing exponentially. It’s becoming impossible to manually prioritize them. That’s why Office 365 applies intelligence to help you proactively manage risk and ward off threats. Today, we’re pleased to introduce several new capabilities in Office 365 that help you manage risk and stay ahead of threats:
  • Office 365 Secure Score—A new security analytics tool that applies a score to Office 365 customers’ current Office 365 security configuration.
  • Office 365 Threat Intelligence Private Preview—Service that leverages billions of data points from the Microsoft Intelligent Security Graph to provide actionable insights to the global threat landscape and help customers stay ahead of cyber threats. Office 365 Threat Intelligence is now in private preview, with general availability planned for later this quarter.
  • Office 365 Advanced Data Governance Preview—Applies machine learning to help customers find and retain the most important data to them while eliminating redundant, obsolete and trivial data that could cause risk if compromised. Office 365 Advanced Data Governance is now in preview, with general availability planned for later this quarter.

Know your Office 365 Secure Score

Do you know how you’d be rated if someone were to evaluate your security configuration? To give you better visibility into your Office 365 security configuration and the security features available to you, we’re pleased to introduce Secure Score—a new security analytics tool. Secure Score helps you understand your current Office 365 security configuration and shows you how implementing additional controls can further enhance your security and reduce risk.*
Here’s how it works:
Secure Score Summary—Displays your Secure Score and provides access to view your Score Analyzer. Your Secure Score, the numerator, is the sum of the points associated with security configurations that you have partially or fully adopted. The total score, the denominator, is the sum of the points associated with all the security controls that are available to you through your Office 365 plan.
In this example, the Secure Score is 130 out of 273 points possible:

Score Analyzer—Allows you to track and report on your score over time. The graph shows your Secure Score on any date in the past, what specific actions you completed and which actions were available to you. Your score results can also be exported to a CSV file for easy planning and communication with your organizations.

In addition to providing insight, Secure Score provides suggestions on the possible actions you can take to improve your security position. These suggestions are prioritized based on the effectiveness of the action and level of impact to end users. Actions that are highly effective with low level of user impact are placed at the top, followed by actions that are less effective and more impactful to users. You can also filter actions in the list with criteria such as those that have low end user impact or that apply to user accounts.
Secure Score can play an important role in a holistic security strategy, which encompasses how an organization strengthens its risk controls, mitigates potential losses and offsets some of the risk. To help businesses strengthen their security position, property and casualty insurer The Hartford will consider a customer’s Office 365 Secure Score as a part of the cyber insurance underwriting process.

According to a recent Ponemon Institute study, the average cost of a data breach has risen to $4 million. Why data governance matters
